Grandstream GWN78xx Cloud-Managed Network Switches

Getting a Grandstream GWN78xx managed switch on your network, adopting it into the free GWN.Cloud management platform, setting up VLANs for phones and guest traffic, and troubleshooting PoE power problems.

Setup steps

  1. 1Rack-mount or shelf the switch, connect port 1 (or any port) to your router or existing network, and power it on. Give it a minute to boot — the system LED settles when it's ready.
  2. 2Find the sticker on the switch: it lists the MAC address and a unique default password. You'll need both — don't peel it off.
  3. 3The switch pulls an address from your router automatically (DHCP). For local access, browse to the switch's address and sign in with username admin and the random password from the sticker. You'll be prompted to set a new password — save it somewhere safe.
  4. 4For cloud management (recommended — it's free): create an account at gwn.cloud, or ask Business IT Solutions to add the switch to the account we manage for you.
  5. 5In GWN.Cloud, add the switch as a new device by entering its MAC address and the password from the sticker — or scan the sticker with the GWN app on your phone, which is the easiest way.
  6. 6Once adopted, the switch shows 'Online' in the cloud dashboard, and all configuration is done from the cloud portal from then on.
  7. 7Set up VLANs if you separate traffic (recommended: one network for phones, one for computers, one for guest WiFi). Create each VLAN in the switch/network settings, then assign ports: 'untagged' on a VLAN for devices like PCs and cameras, 'tagged/trunk' for uplinks to the router and WiFi access points.
  8. 8Before changing VLANs on a live network, write down what's plugged into each port. Mis-assigning the uplink port can knock the whole site offline — this is a good step to have us handle at (207) 819-8229.
  9. 9For PoE models (GWN78xxP): plug phones, cameras, and access points into PoE ports — they power up over the network cable with no adapters needed.
  10. 10Check the PoE dashboard in the switch's interface after connecting everything: it shows power draw per port and total power used versus the switch's PoE budget.
  11. 11Label your ports (the cloud portal lets you name each port) — 'Front desk phone', 'Warehouse AP', etc. Future-you will be grateful.

Troubleshooting

Switch won't adopt into GWN.Cloud / shows offline in the portal+

Double-check the MAC and password were typed exactly as on the sticker — the password is case-sensitive. The switch needs a working internet path: confirm devices plugged into it can browse the web. If the switch was previously managed locally or by another cloud account, it must be released from that manager before a new one can adopt it.

Phone or access point plugged into the switch won't power on+

First confirm you're on a PoE model (a P in the model number, like GWN7813P) and a PoE-capable port. Then check the PoE budget in the dashboard — if the total draw has hit the switch's limit, new devices get no power. Cameras with heaters and big access points draw the most; move low-priority devices to non-PoE ports with their own adapters, or upgrade to a higher-budget switch.

Devices on one port can't reach the internet but others can+

That port is likely assigned to the wrong VLAN. Compare its VLAN settings to a working port in the switch interface or GWN.Cloud. This commonly happens when a computer is plugged into a port that was configured for phones. If VLAN settings look right, try a known-good cable — cables fail more often than switch ports.

Whole network went down after I changed switch settings+

You may have re-assigned the uplink port's VLAN or created a loop by plugging two switch ports into each other. Unplug the most recent cable change first. If you can't reach the switch at all anymore, a factory reset (hold the reset button ~10 seconds) returns it to defaults so it can be reconfigured — then call us at (207) 819-8229 before re-applying VLANs.

PoE devices randomly reboot during the day+

Random reboots across several PoE devices usually mean the PoE budget is being exceeded at peak draw (devices pull more power when busy — heaters, radios at full tilt). Check the power dashboard's total draw against the budget, and redistribute or upgrade. A single device rebooting alone is more likely its cable — replace it with a known-good run.

Switch is online but a port shows no link light+

Try a different cable and a different port to isolate whether it's the cable, the port, or the device. Check in the switch interface that the port hasn't been disabled. Long cable runs near fluorescent lights or motors can also fail intermittently — a cable tester tells the truth, and we can test drops for you.

Pro tips

  • Photograph the sticker (MAC + password) on every Grandstream device before it goes up a ladder or into a rack.

  • Buy more PoE budget than you need today: adding cameras and access points later is inevitable, and the budget is the wall you'll hit.
  • Name every port in the portal as you connect things — an unlabeled 24-port switch is a guessing game two years later.
