Yealink CP960 / CP965 Conference Phones
Setting up a Yealink CP960 or CP965 touchscreen conference phone in your meeting room, adding wireless expansion microphones for bigger tables, and fixing the most common audio and connection problems.
Setup steps
- 1Place the conference phone in the center of the table. The built-in three-microphone array picks up voices in a circle around the unit, so centered placement matters.
- 2Run the included Ethernet cable from the phone to your network jack. These phones are powered by PoE — if your switch doesn't provide PoE, use the Yealink PoE adapter (power injector) that came in the box or is available from us.
- 3Wait for the phone to boot to the touchscreen home screen. If Business IT Solutions pre-provisioned it, your line appears automatically within a few minutes; the account name shows at the top of the screen.
- 4Make a test call and have someone speak from each seat at the table. For rooms longer than about 10-12 feet, plan on expansion microphones.
- 5To add wireless expansion mics on a CP965 (CPW65 mics): tap Settings > Wireless Mic on the phone's screen, then tap the + button. The mic registers automatically — the screen shows its battery level when paired. You can pair up to two.
- 6On a CP960 with CPW90 wireless mics: mics bought as a bundle come pre-paired. To pair manually, set the CPW90 on its charging cradle, then press and hold its mute button for about 5 seconds to enter registration mode, and add it from the CP960's screen.
- 7Place the expansion mics about two-thirds of the way down the table from the phone, spaced apart, so every seat is within a few feet of a microphone.
- 8If you use the phone with a computer for Zoom/Teams meetings, connect the phone to the PC (micro-USB port on the phone) and select the Yealink phone as speaker and microphone in your meeting app.
- 9Set the time zone and adjust ring volume from the Settings menu on the touchscreen.
- 10Charge the wireless mics on their cradles after meetings — they're designed to live on the charger when not in use.
Troubleshooting
Conference phone has no power / screen stays black+
These phones are PoE-powered — a regular network jack with no PoE won't light them up. Check whether the cable runs to a PoE switch port, and if not, put the included PoE injector between the wall jack and the phone. If you're not sure whether your switch does PoE, call Business IT Solutions at (207) 819-8229 and we'll check.
People at the far end of the table sound faint or far away+
You've outgrown the built-in mic range, which covers roughly a 10-foot circle. Add wireless expansion microphones (CPW65 for CP965, CPW90 for CP960) and place them near the far seats. Also remove obstacles — laptop lids and pizza boxes between speakers and the phone genuinely block pickup.
Callers hear echo+
Echo is usually the room, not the phone: hard bare walls, glass, and long narrow rooms reflect sound back into the mics. Move the phone away from walls and reflective surfaces, lower the speaker volume a notch or two, and add soft surfaces (carpet, panels) if the room is very live. Make sure only one audio device is active — a laptop's speakers running the same meeting will cause echo instantly.
Wireless expansion mic won't pair or keeps disconnecting+
Charge the mic fully first — pairing with a dead battery fails unpredictably. Re-run pairing (Settings > Wireless Mic > + on CP965; hold the CPW90's mute button 5 seconds while on its cradle for CP960). Keep the mics within the same room as the phone; they're not designed to work through walls.
Phone shows 'No Service' or the line is unavailable+
The phone booted but can't reach the phone system. Reboot it by unplugging the network cable for 10 seconds. If the network jack was recently changed or the phone was moved to a different room, the new port may be on the wrong network (VLAN) for phones — call us at (207) 819-8229 and we'll get the port assigned correctly.
Touchscreen is unresponsive or the phone is acting strange+
Reboot first: unplug the Ethernet cable (which is also the power), wait 10 seconds, and plug it back in. If problems persist after a reboot, the phone may need a firmware update — that's something we push remotely, so give us a call rather than factory-resetting a provisioned phone.
Pro tips
- Mute is your friend in noisy offices — the touch mute button (and the mute button on each wireless mic) glows red when active, so you can see mute status from across the room.
- Don't stack papers or laptops around the phone; the mics are in the body of the unit and anything leaning against it degrades pickup.
- Wireless mics live longest when parked on their charging cradles between meetings — make that the room's habit.
- If your meetings are mostly Zoom or Teams from a laptop, the USB connection turns the CP9xx into a high-end speakerphone for the PC — much better than laptop audio.
