Yealink W-Series Cordless DECT Phones (W70B/W73P/W76P + W53H/W56H/W73H/W78H)
How to set up a Yealink W-series cordless phone system: connecting the base station, pairing (registering) handsets to the base, and getting the best wireless range in your office or shop. Covers the W70B base and the W53H, W56H, W73H, and W78H handsets sold as W73P/W76P bundles.
Setup steps
- 1Unpack the base station (the small vertical unit) and connect it to your network: plug an Ethernet cable from the base's Internet port into your router or switch. If your switch provides PoE (Power over Ethernet), that's all it needs; otherwise plug in the included power adapter.
- 2Place the base station somewhere central and elevated — on a shelf or wall-mounted — away from metal cabinets, microwaves, and Wi-Fi routers. The base is the radio, so its location matters more than where the charging cradles sit.
- 3Set up each handset: insert the battery (or battery pack), connect the charging cradle to its power adapter, and let the handset charge. Charging cradles only need power — they do not need a network cable.
- 4If you bought a bundle (like the W73P or W76P), the included handset is usually pre-registered to the base at the factory. Turn the handset on — if it shows a handset number and dial tone within a minute, you're done pairing.
- 5To register an additional or replacement handset: long-press the paging button on the front of the base station until the registration LED starts flashing. The base stays in registration mode for about 90 seconds.
- 6On the handset, press the Reg soft key if it appears, or press OK, then go to Settings > Registration > Register Handset, and select the base it finds.
- 7When prompted for the base PIN, enter 0000 (the default, unless it has been changed). The handset will show 'Handset Subscribed' when registration succeeds.
- 8Repeat for each handset — a W70B base supports up to 10 handsets. Each handset gets its own number (Handset 1, Handset 2, etc.) on screen.
- 9If Business IT Solutions pre-provisioned your system, your phone lines are assigned automatically once the base is online. Make a test call from each handset to confirm.
- 10Walk the areas where staff will use the handsets while on a test call. If audio breaks up in key spots, see the range tips below or call us at (207) 819-8229 about adding a DECT repeater or a second base.
Troubleshooting
Handset says 'Searching for Base' or shows a flashing antenna icon+
The handset can't reach the base station. First check that the base has power and its network light is on. If you're far from the base, walk closer — if the message clears, it's a range issue. If it never connects even next to the base, the handset may have lost its registration: re-register it using the paging-button procedure above.
Handset is registered but has no dial tone+
Registration to the base and registration to the phone service are two different things. Check the handset screen for the line/account name — if it shows 'No Service' or the account name with an X, the base can't reach the phone service. Reboot the base station (unplug power or the PoE cable for 10 seconds). If it doesn't recover, call Business IT Solutions at (207) 819-8229 — the account settings may need attention.
Calls cut out or sound robotic when I walk around+
You're hitting the edge of DECT range. Indoors, expect roughly 150 feet through typical walls; concrete, metal shelving, and coolers cut that down a lot. Move the base to a more central, elevated spot, or add a Yealink DECT repeater (RT30) to extend coverage into the dead zone.
New handset won't pair — registration keeps failing+
Make sure the base is actually in registration mode (long-press the paging button until the LED flashes) and complete the handset steps within about 90 seconds. Use PIN 0000 unless it was changed. Also check the base isn't already at its handset limit (10 on the W70B). If a dead handset is hogging a slot, de-register it from the base's web interface first.
Handset battery drains in less than a day+
A handset that spends all day searching for the base drains fast — fix any coverage problem first. If coverage is fine, the battery may be worn out; W-series batteries are replaceable, so swap in a new battery or battery pack rather than replacing the whole handset.
Paging a handset from the base doesn't make it ring+
A short press of the base's paging button should make all registered handsets beep (this is how you find a lost handset). If a handset doesn't respond, it's either powered off, out of range, or no longer registered. Charge it, bring it near the base, and re-register if needed.
Pro tips
- Cradles don't need to be near the base — put the base in the best radio location and put charging cradles wherever handsets get parked.
- One base, many handsets: it's usually cheaper to add W73H handsets to an existing base than to buy full W73P bundles (which include another base you don't need).
- Don't mount the base in the network closet next to the rack — metal racks and interference make it the worst spot in the building for DECT.
- Write the handset number on a label under each handset so staff can tell them apart when they end up on the wrong cradle.
